We are currently recruiting for a Facilities Co-Ordinator to join our Operations team on a full time, permanent contract which will be based in our Head Office in Dublin 15. The successful candidate will support the wider Operations Team through the management of the dispatch function from job generation to completion.
PRINCIPAL ACCOUNTABILITIES
- Responsible for Timesheet Management and reconciliation of Engineer hours for Payroll
- Responsible for weekly costing of Project/Tender works and client specific weekly costing for upload to financial system
- Responsible for the generation of New Engineer profiles and staff code set up on GeoPal to include updating and maintaining the staff code/band rate file
- Daily costing and reconciliation of Engineer dayworks hours for upload to the financial system
- Liaising with FM Engineers on various queries and providing the necessary follow up and support to resolve outstanding issues
- Dispatching ticket and job numbers to FM Engineers
- New client setup to allow job dispatch on the system
- Monthly review and update of the Department Guidelines
- To provide administrative support and assistance to FM Engineers, Project Managers and the Office Team
- Assist with and cover the Facilities Maintenance Helpdesk calls to include the filtering and management of same
- Assist with and provide cover for the co-ordination of GeoPal Engineer queries and the resolution of same
- Provide Reception cover on a rotational basis as and when required
- Assist the Operations Team with any excessive workloads as necessary
- Understand the range and depth of the services provided by Sensori FM with the eagerness to further develop your knowledge of the business and the services we provide
- Support the Company in promoting a culture of excellent customer service and establish exceptional working relationships with all key stakeholders
- Act as a brand ambassador and lead the Company through its ongoing expansion
- Any other duties as deemed necessary for the efficiency of the business
SKILLS AND KNOWLEDGE REQUIRED
- A minimum of 3 years proven experience in a similar fast paced role
- Advanced Microsoft Office skills are essential
- Excellent communication skills, both written and verbal, with fluent English
- Approachable with a pleasant disposition
- Motivated self-starter, who can work independently
- Capable of prioritising tasks whilst possessing the ability to work under pressure
