Facilities Management & Helpdesk Administrator

Due to the continued growth of our Facilities Management business, we are looking to recruit a support administrator with an immediate start. There is flexibility with regards to the base location while this role will report to our Regional General Manager and will assist with the running of the administration function for the department. This person will work as part of the office team to support our Site Facilities Managers and Regional Account Manager.

Job Specification:

  • General administration work e.g. filing, scanning, etc.
  • Customer Service – dealing with queries from clients and ensuring they are transferred for actioning to the relevant personnel
  • Scheduling works for the Site Managers, site support staff and contractors
  • Placing and tracking orders for equipment and supplies with the Purchasing Department as may be required and ensuring ticket numbers and tracking associated with the Finance system are followed at all times
  • Co-ordinating a high volume of work order logs and work reports which must be completed daily
  • Engaging with various external stakeholders including suppliers and subcontractors to ensure the smooth running of the department
  • Collating month end reports for contract KPIs including operational reports and payment mechanism reports
  • Other ad hoc tasks that may be assigned from time to time

Person Specification:

  • Highly organised with superior attention to detail
  • 2+ years’ experience in administration and customer service within a busy office environment
  • Thorough working knowledge of MS office suite
  • Finance experience e.g. purchase orders, internal requisitions & assisting in month end Financial reports
  • The ability to balance customer expectations with internal operational requirements
  • Excellent communicator
  • The ability to prioritise a workload effectively
  • Committed to providing an excellent service for both internal and external stakeholders

Desirable:

  • Experience of CAFM systems
  • Exposure to Facilities Management and or Engineering/Construction environments
  • Full Clean Driving Licence as travel to other sites within the contract(s) may be required from time to time
